Common Errors In Applying for a Canadian Medical License

Having checked hundreds of medical license applications for several different countries, we have seen the same frequently occurring omissions and mistakes.

Yes, even a minor omission or slight mistake will significantly delay the assessment of an application by the licensing authority to which you are applying.

Below is a common list of errors:

  • Mismatched information between forms and supporting documents (e.g., mismatched dates, names, etc.).

  • Poor quality scans or illegible copies of qualifications.

  • Submitting incomplete and/or “unofficial” academic transcripts.

  • Missing any of the following in the employment certificate:

    • Employee name
    • Job title
    • Specific employment dates, i.e., mm/dd/yyyy to mm/dd/yyyy
    • Signature and date by the Human Resources department
    • Employer letterhead
  • Not listing all your employment history. If there is an employment gap, you must provide a reason, even if it is personal.

  • Missing any of the following in the reference letter:

    • Employee name
    • Job title
    • Specific employment dates, i.e., mm/dd/yyyy to mm/dd/yyyy
    • Signature and date by the referee
    • Official letterhead
  • Failing to provide a name change document. If the name on the passport does not match the name on any supporting document, a government issued name change document, such as a marriage certificate or legal name change certificate, must be provided.

  • Failing to upload all the requested documents to the licensing authority online portal.

  • Delay from the institution in sending required document to the licensing authority (e.g., transcripts, licensing certificate of good standing, etc.). This is a frequent problem.

  • Submitting expired documentation (for example Certificates of Good Standing from a licensing board is valid for only three to six months).

  • Delay in responding to follow-up requests for additional documentation from the licensing authority (i.e., not checking email and online application portal regularly and missing deadlines).

Like any medical or surgical procedure, details matter. Taking the time to complete the application form will save a lot of time and grief later.
